Vectis is a boutique consulting firm specialised in governance, risk, compliance and internal audit for financial institutions in Luxembourg. With a small team of around a dozen consultants, the company delivers high-value projects for banks, insurers and fund managers. Yet internally, its own tools were far from efficient.

Before Odoo, Vectis relied on four different open-source applications: one for CRM, one for projects, another for timesheets and a separate invoicing tool. Each had to be maintained and updated separately. Integration was limited, so simple changes sometimes required a specialist developer. Producing a consolidated report for management or the board of directors meant exporting data from each system and manually stitching it together in spreadsheets.

After evaluating several options, Vectis decided to move everything to Odoo’s SaaS platform. The initial implementation covered CRM, Sales, Project, Timesheets and Accounting. Later they added Expenses and Vacation management, keeping to standard features rather than heavy customisation so that upgrades would remain simple.

Consultants now log their time directly on project tasks in Odoo. The system automatically prepares timesheet-based invoices, reducing back-and-forth between delivery teams and finance. Managers can see project profitability, utilisation rates and pipeline health from a single dashboard instead of juggling separate tools.

The benefits showed up quickly. By removing four applications and their associated hosting and maintenance, Vectis cut IT costs significantly year over year. Monthly reporting, which used to take a full day of data wrangling, is now generated in about an hour. Because everything lives in one place, the risk of errors from manual re-entry has dropped, and staff spend more time serving clients instead of updating software.

For service and consulting companies that live on billable hours and reputation, Vectis’ story is a clear signal: consolidating processes into one integrated Odoo instance can save both money and management attention while giving partners a much clearer picture of how the firm is performing.
