This education company produces textbooks, workbooks and question banks for schools across India, from kindergarten to Grade 12. Beyond publishing, it organises teacher workshops, exam-prep events and seasonal campaigns, and ships pallets of books to distributors and direct orders to schools. Under the surface, though, its operations were stitched together with aging desktop software and a lot of human memory.

Each regional office maintained its own spreadsheets for stock and receivables. Sales reps collected pre-orders from schools on paper and updated them later, sometimes days after the fact. Marketing could not see real-time sales performance for campaigns, and finance had to reconcile numbers from multiple, inconsistent sources. As the brand grew, errors multiplied: wrong shipments, delayed invoices and mismatched stock counts.

The leadership team decided to move everything onto Odoo. Working with an implementation partner, they deployed Purchase, Sales, Inventory, Point of Sale, Invoicing and a basic CRM, all hosted on a scalable cloud infrastructure. Historical data was cleaned and migrated so that every book title, customer and price list existed exactly once.

Today, orders from sales reps, the website and regional counters all flow into Odoo Sales. Inventory is updated automatically when goods move between central warehouses and regional depots. Barcode scanning at receiving and dispatch points ensures that stock levels are accurate down to the carton, giving the team 98%+ inventory accuracy even during peak season.

On the financial side, invoices are generated directly from confirmed orders, and payments are posted against the correct customer and campaign without manual retyping. The marketing team uses Odoo’s segmentation and campaign features to run region-specific promotions and instantly see which offers drive actual orders, not just leads.

An internal review after go-live showed that about 95% of previously manual processes—order logging, stock updates, invoice creation, follow-up reminders—were now automated. Staff who used to spend evenings “fixing the numbers” can finally focus on building better content and serving schools. For education and training-focused organisations, this is a clear example of how Odoo can turn a growing operational headache into a stable, scalable backbone.
